At the April, 2000 meeting of the Board of Directors, the BoD put in place the following Privacy Policy:

"Personal information will not be published on any SCA-recognized Internet site without first gaining permission from the individuals involved. Permission must be received in writing."

This policy went into effect on July 1st, 2000.  At that time, the Electronic Publications Manager made a policy interpretation that the autocrat or other person submitting an event announcement electronically could, by clicking on a check box, give permission to publish for each person listed in the event announcement.  The BoD later stuck down this interpretation.

In order to continue providing event announcements on the East Kingdom web site, we need your help.  The current policy does not specify who is to collect this permission, just that it must be collected.  If you, as the autocrat of the event, seneschal of the sponsoring group or the "wired" friend who is posting the event announcement collect the written permission for us, you will help reduce the workload of my staff, which is a good thing!

While the BoD has indicated that an e-mail exchange asking for permission and receiving an affirmative response back is considered "written" for the purpose of this policy, I'm going to recommend that you use this form (PDF, 34K) instead of e-mail, and ask that you keep this "permission slip" on file 3 to 6 months after the event.  If the same person is (or will be) mentioned in more than one event announcement, just put "Any" or "All" on the line for the name of the event.  If you do not have the facilities to store these records, you may mail them to Dave Weiner, 105 Mahon Lane, Bear, DE  19701

Thank you for your patience and understanding in dealing with the privacy policy.  In close consultation with Duchess Marieke (EK Chronicler), I am trying to make sure that the extra work required is spread over as many people as possible.
